Executive Assistant to VP Portfolio & Business Strategy, Transformation of Industry (f/m/d)

A Snapshot of Your Day
As Executive Assistant (f/m/d), you will be the first point of contact for internal and external partners on all topics related to the scope of the Vice President Portfolio & Business Strategy of Transformation of Industry.
In your role, you will play a crucial role in ensuring the seamless functioning of the VP's office and team, and in providing support to the office of the Executive Vice President (EVP) of Transformation of Industry.
You will manage the VP's agenda with a high volume of appointments according to priorities, including travel coordination. You will also support the Board Office with travel management and administrative work.
The ideal candidate for this role will be a detail-oriented, structured planner with the ability to respond effectively and efficiently while maintaining flexibility and composure. This position requires an individual who excels at multi-tasking in a fast-paced and changing environment, possesses exceptional organizational skills for calendar and travel coordination, and fosters an atmosphere of teamwork and job satisfaction.
How You’ll Make an Impact

  • Manage an extensive and dynamic meeting calendar, organize daily schedules, and provide comprehensive administrative support
  • Handle correspondence in German and English and ensure the flow and storage of information and documents according to priorities and deadlines
  • Coordinate travel logistics (national and international), ensuring seamless arrangements from transportation and accommodation to detailed agendas for the VP and EVP
  • Purchase and report expenses in full accordance with travel guidelines for the VP and Executive Board
  • Plan and organize various workshops and events aligned with organizational goals, with a focus on outputs and team engagement
  • Organize PBS team meetings and serve as main point of contact for team needs
  • Assist with a wide variety of HR processes, such as interview preparation, onboarding/offboarding of employees and performance management processes
  • Establish an internal and external network with relevant contacts, monitor and coordinate largely independently project tasks and provide active feedback for progress and need for action
  • Drive additional selected topics to support the VP and its team as well as the EVP

What You Bring

  • Minimum 5 years of relevant professional experience in the field of Executive Assistance at the upper management level, proven track record of reducing administrative overheads
  • A strong service orientation to enable others to achieve their tasks in an organized and efficient manner
  • Full proficiency in MS Office (Outlook, Teams, Word, PowerPoint, Excel, Co-Pilot) and secretarial tools (incl. SAP)
  • Exceptional communication and interpersonal skills to effectively collaborate with colleagues and customers, fostering strong relationships with both internal and external stakeholders, even in a remote work environment
  • Quick thinking and self-driven, flexibility, adaptability, and the ability to complete tasks with minimal guidance and under pressure
  • Flexibility on multiple levels, switching calendars and reprioritizing if needed
  • Proactive Mindset
  • Fluency in written and spoken English and German
  • Work experience in multicultural and global environment

The Portfolio & Business Strategy team at Siemens Energy’s Transformation of Industry is at the forefront of shaping the electrification, decarbonization and digitalization of industrial energy systems. The team oversees strategy, strategy execution, innovation & portfolio management, markets & partnerships, sustainability, and digitalization for TI. It is composed of a dynamic group of experts dedicated to creating impactful strategies driving sustainable transformation and innovation in the energy sector.
