HR Admin and Payroll Specialist (Part-time (30h) (m/f/d)

Intro

We are seeking a passionate and detail-oriented HR Admin and Payroll Specialist to join our growing team. As part of our tech scale-up, you will support our HR function and collaborate closely with Finance, with administrative and payroll tasks, ensuring smooth and efficient operations.
This role is ideal for someone who enjoys working in a dynamic environment and is excited about contributing to a vibrant company culture. You’ll play a key role in maintaining HR systems, processing payroll accurately, and supporting the team with general administrative tasks, such as contract creations, benefits administration and leave management.

About the team

You will join the People Team, who is overlooking all Payroll and HR Admin related aspects of a global and vibrant company. ​
Our Team is very lean and productive, we love taking care of our people, ensuring support and care with a customer-centric and efficient mindset.

Your Mission

As someone eager to support the People team with a wide range of tasks, you will ensure that all our payroll-admin HR processes run smoothly and will support Adsquare’s employees through their employee lifecycle by:
Payroll Management:

  • Accurately process monthly payroll for all employees in our different international offices, with focus on German payroll, ensuring compliance with relevant laws and regulations
  • Handle employee salary changes, bonuses, and other payroll adjustments
  • Liaise with external payroll providers and ensure timely submission of payroll data
  • Manage employee queries related to payroll, tax, and deductions

HR Admin

  • Maintain and update employee records in the HR system, including contracts, absences, and personal information
  • Support new hires with the onboarding process, including contract preparation and documentation and visa requests
  • Assist with the administration of employee benefits, such as health insurance, travel compensation, health benefits and pension schemes
  • Track and manage employee leaves, vacation requests and absences
  • Ensure that all employee documentation is up to date and stored securely in compliance with applicable data protection regulations (e.g. GDPR)

Your Profile

Skills & Qualifications
Education & Experience:

  • Previous experience (1-3 years) in an HR admin or payroll role, preferably within a tech or start-up environment
  • Understanding of payroll processes and HR administrative tasks
  • Familiarity with labor laws and statutory requirements in Germany, knowledge of statutory requirements in EU and US is a plus
  • Proficiency in HR management systems and payroll software (experience with DATEV and Personio or similar is a plus)
  • Good knowledge of Microsoft Office Suite, especially Excel
  • Fluent in German and English
