About the Role
We’re on the lookout for a People & Operations Manager to ensure the systems that keep Kiron running are seamless, effective, and people-centered. You’ll be at the heart of our HR operations, leading everything from recruitment and onboarding to payroll and administrative processes. Your mission is to create a fantastic experience for Kironistas (that is how we call each other) at every step of the employee journey.
This is the perfect role for someone who loves detail and efficiency, understands the bigger picture, and gets a kick out of helping an organization grow sustainably while putting people first.
Your Tasks
People Operations (50%)
- Manage and optimize HR documentation, contracts, and employee data systems (e.g., Personio).
- Support payroll processes, acting as the primary contact during absences.
- Handle people-related queries and maintain an up-to-date org chart.
- Ensure compliance with labor laws and handle administrative tasks related to employee lifecycle processes.
Recruitment (30%) - depends on the open roles
- Lead end-to-end recruitment, including defining job profiles, coordinating hiring processes, application screening, and negotiating offers.
Onboarding & Offboarding (10%)
- Collaborate with other stakeholders for hardware setup and software accounts.
- Deliver smooth onboarding and offboarding experiences.
Office Management & Culture (10%)
- Coordinate office-related operations, liaise with service providers (e.g., Impact Hub), and support team events.
- Nurture an inclusive and engaging company culture.
- Manage our virtual office, e.g. Zoom, Miro, etc.
Your Profile
Required Experience
- Proven background in HR, People Operations, or related fields, with an understanding of basic labor laws (you can learn on the job but have to be motivated to take on those topics).
- Demonstrated experience in recruitment, office management & administration.
- Ability to manage multiple projects with exceptional attention to detail.
Required Knowledge
- Fluent English (written and spoken); German at B2 level or higher. You do not need to be a native speaker but you will have to deal with things in both English and German.
- Familiarity with HR tools and systems or a proven ability to learn new tools quickly.
Bonus Knowledge & Experience
- IT Administration, e.g setting up computers, collaborating on social security topics
- Background in NGOs, social business, or start-ups.

- Process-driven with a problem-solving mindset and hands-on approach.
- Strong communication skills and ability to interact with diverse stakeholders.
- Passion for combining human-centered approaches with data-driven decision-making.

- Knowledge of Refugee Integration: Understanding of the education and refugee integration sectors, particularly labor market integration.
- NGO/Startup Spirit: You’ve worked in fast-paced, mission-driven environments where adaptability and taking initiative were key to your success.
